Privacy Policy — QuickBooks MCP (Team Trinet)

Applies to: The QuickBooks Online integration operated by Dignetix Ltd for Team Trinet’s own accounting (“the App”). The App is an internal tool, built for Team Trinet’s exclusive use, and is not distributed, resold, or made available to the public or to any other business.

1. What this App is

The App connects Team Trinet’s QuickBooks Online company to an internal AI-assisted workflow so that authorized Team Trinet personnel can retrieve accounting data and record cash receipts (customer payments and bank deposits) without manual double-entry. It is accessed through Claude, an AI assistant developed by Anthropic, which authorized personnel use as the interface to request and review QuickBooks actions.

2. Data we access

Through the QuickBooks Online API, the App can access:

• Customer, invoice, payment, deposit, and bank/chart-of-accounts records belonging to Team Trinet’s QuickBooks Online company
• Standard QuickBooks financial reports (e.g. balance sheet, trial balance, general ledger)

The App does not access any QuickBooks company other than Team Trinet’s own, and does not access data belonging to any other business.

3. How data is used

Data retrieved from QuickBooks is used exclusively to:

• Display accounting information to authorized Team Trinet personnel
• Prepare and, upon explicit human confirmation, submit new Payment and Deposit records back to the same QuickBooks company

Every write action is shown to the requesting person for review before it is submitted, and requires their explicit confirmation. No data retrieved from QuickBooks is used for advertising, profiling, resale, or any purpose other than Team Trinet’s own bookkeeping.

4. Where data is stored and how it’s protected

• Credentials (QuickBooks OAuth client ID, client secret, refresh token, and company identifier) are stored in Azure Key Vault, a secrets-management service within Dignetix Ltd’s own Azure subscription. Credentials are never stored in plaintext configuration files or on any individual’s device.
• Access control: Only one named individual has write access (create/update) to QuickBooks through the App, enforced via Microsoft Entra ID authentication tied to that person’s identity. All other authenticated users are restricted to read-only access.
• No deletion: The App is configured so that no QuickBooks record can be deleted through it, under any identity, at any time.
• Audit logging: Every request made through the App — including successful calls, failed calls, and blocked/unauthorized attempts — is recorded in an append-only audit log (Azure Table Storage) within the same Azure subscription, including a timestamp, the identity of the caller, and the outcome. This log is retained for internal review and is not shared externally.

5. Third parties

• Anthropic (Claude): Authorized personnel interact with the App through Claude, an AI assistant. Data passed through Claude in the course of using the App is subject to Anthropic’s own privacy policy and the applicable API/enterprise terms between Dignetix Ltd and Anthropic.
• Microsoft Azure: Underlying infrastructure (Key Vault, Table Storage, App Service) is hosted on Microsoft Azure, subject to Microsoft’s standard cloud data-processing terms.
• We do not sell, rent, or share QuickBooks data with any other third party, advertiser, or data broker.

6. Data retention

Credentials are retained for as long as the App remains connected to QuickBooks and are rotated automatically by the OAuth refresh process. Audit log entries are retained indefinitely for accountability purposes unless deleted at Dignetix Ltd’s discretion. QuickBooks records themselves remain governed by Team Trinet’s own QuickBooks Online subscription and Intuit’s data retention terms, not by this policy.

7. Your rights / contact

Because the App operates on a single company’s own accounting data under a single company’s own authority, individual end-user data-subject requests are handled directly by Dignetix Ltd. Questions about this policy, or requests relating to data handled by the App, can be sent to neil@dignetix.com.

8. Changes to this policy

This policy may be updated as the App’s scope changes (for example, if it is extended to additional QuickBooks companies or additional users). Material changes will be reflected by an updated effective date above.

This App is built using QuickBooks Online’s published APIs. It is not created, endorsed, or certified by Intuit Inc.
